Privacy policy for the App - My distribution
This privacy policy describes how FK Distribution A/S processes personal data in connection with your use of the My Distribution App, a digital work tool used to carry out your job tasks.
1. Data Responsibility and Contact Information
My Distribution App (“App” or “the App“) is provided by FK Distribution A/S, which is the data controller for the processing of personal data in the App.

2. Description of Processing
2.1 Login and Verification
We process your personal data in connection with your login to the App to ensure that only employees of FK with a work-related need can access the App.
We process the following personal data about you: employee number, self-selected password, multi-factor verification, and phone number.
We collect personal data directly from you through your use of the App.
We process your personal data based on GDPR Art. 6.1.b, as the processing is necessary for the fulfillment of a contract (employment agreement) in which you are a party, whereby it has been agreed that we provide digital work tools for you to use in carrying out your tasks as a distributor.
We retain the above personal data for as long as you have an active employment relationship with us and for five years thereafter to document your employment with FK.
2.2 Ongoing Use of the App
We process your personal data in connection with your ongoing use of the App to offer you a functional App that you can use for your work as a distributor.
We process the following personal data about you: IP address, device ID, device platform, device model, device OS, user ID, session ID, app version, acceptance or rejection of push notifications, employment status, financial information, preferred language in the App, acceptance of terms for using the App, acceptance or rejection of cookies, profile and contact information including address, date of birth, email, name, gender, language preference, and phone number, route information, route reports including error reports, sequence of delivery, specific preferences for organizing printed materials, completion status, and completion of help videos.
We collect personal data directly from you through your use of the App.
We process your personal data based on GDPR Art. 6.1.b, as the processing is necessary for fulfilling a contract in which you are a party, whereby it has been agreed that we provide digital work tools for you to use in carrying out your tasks as a distributor.
We retain the above personal data for as long as you have an active employment relationship with us and for five years thereafter to document your employment with FK.
2.3 Map Functionality
We process your personal data in connection with your use of the App’s map functionality to display your route, including navigation to the specific addresses on your route. The processing is intended to make it easier for you to complete your route in the most efficient way possible.
The map functionality only works if you have granted permission to use your GPS location on your tablet or smartphone.
We process the following personal data about you: IP address, device ID, device platform, device model, device OS, user ID, session ID, app version, route information, and delivery sequences.
We collect personal data directly from you through your use of the App.
We process your personal data based on GDPR Art. 6.1.b, as the processing is necessary for fulfilling a contract in which you are a party, whereby it has been agreed that we provide digital work tools for you to use in carrying out your tasks as a distributor.
Please note that Google Cloud EMEA Limited (when using Android devices) or Apple Inc. (when using Apple devices) may process information about your GPS location to link your GPS coordinates to an address or vice versa. We are not responsible for this independent processing.
We retain the above personal data for as long as you have an active employment relationship with us and for five years thereafter to document your employment with FK.
2.4 Chat Functionality
We process your personal data in connection with your use of the chat function in the App, where you can ask questions such as how to best pack your trailer, how to complete your route, and similar inquiries.
We process the following personal data about you: user ID, session ID, and chat content, including both questions and answers.
We collect personal data directly from you through your use of the App.
We process your personal data based on GDPR Art. 6.1.b, as the processing is necessary for fulfilling a contract in which you are a party, whereby it has been agreed that we provide digital work tools for you to use in carrying out your tasks as a distributor.
We retain the above personal data for as long as you have an active employment relationship with FK and for two years thereafter to document your employment with FK.
2.5 Analysis and Statistics
We process your personal data, including information about your interaction with the App, when you use the App. The processing is carried out to optimize, adapt, and develop the App and potentially other related products. The processing of your personal data for this purpose is only conducted if you have given your specific consent.
We process the following personal data about you: IP address, device ID, device platform, device model, device OS, user ID, session ID, app version, acceptance status of cookies, and related processing of your personal data.
We collect personal data directly from you through cookie-like technologies.
We process your personal data based on GDPR Art. 6.1.a, as the placement of cookie-like technologies, the collection of data about your use of the App, and the associated processing of information for statistical and analytical purposes are based on your consent.
We retain the above personal data for two years, after which the data is either deleted or irreversibly anonymized.
2.6 Security and Logging
When you use the App, we log information about your usage to troubleshoot and resolve any issues, such as system crashes or technical errors, as well as to maintain an appropriate level of security.
We process the following personal data about you: IP address, device ID, device platform, device model, device OS, user ID, session ID, app version, and significant actions in the App.
We collect personal data directly from you.
We process these personal data under GDPR Art. 6.1.c, as we are legally required, including under GDPR Art. 32, to maintain an appropriate level of security, ensuring the integrity, availability, and confidentiality of your personal data.
We retain these personal data in the application and firewall logs for 13 months.
2.7. Support and Disputes
When you contact FK with questions related to the App via email to your distribution manager or at app.support@fk.dk, we process personal data about you to handle your inquiry.
Additionally, we may process personal data about you to manage any disputes that may arise as a result of your use of the App.
We process the following personal data about you: email address and any information included in your inquiry.
We collect personal data directly from you.
We process the above personal data based on GDPR Art. 6.1.f, where FK’s legitimate interest is to respond to your inquiries or, if necessary, to defend or assert a legal claim in connection with a dispute.
As a general rule, we retain personal data related to your inquiry for 30 days from the conclusion of the support case. In the event of disputes, we may retain your data until the dispute is finally settled and for five years thereafter for documentation purposes.
3. Recipients of Personal Data
As a general rule, we do not share your personal data with anyone unless it is necessary to fulfill a legitimate interest, e.g., in connection with disputes where data may be disclosed to advisors, authorities, and legal bodies.
However, your personal data is transferred to external partners and suppliers, including IT and support providers, for the operation, development, and hosting of FK’s IT systems and platforms. We use Microsoft for hosting FK’s IT platform. We may also use external partners for other purposes, such as statistics and marketing. These suppliers and partners act as data processors for FK and process your personal data solely according to FK’s instructions and for FK’s purposes as described in this privacy policy.
4. Transfers to Countries Outside the EU/EEA
As a general rule, personal data is only processed within the EU/EEA. If we transfer personal data to third countries outside the EU/EEA, we will ensure that a legal basis for the transfer has been established and that appropriate security measures have been taken, including the use of the EU Commission’s standard contractual clauses for the transfer of personal data to third countries outside the EU/EEA, cf. GDPR, Art. 46.2.c.
Due to FK’s use of Microsoft, personal data may be transferred to, stored, and processed in the USA or another country where Microsoft and its subprocessors operate. All transfers of personal data by Microsoft to a third country or an international organization are subject to appropriate protective measures as described in GDPR, Art. 46 (most commonly the EU Commission’s standard contractual clauses for the transfer of personal data to third countries outside the EU/EEA, cf. GDPR, Art. 46.2.c), unless there is an adequacy decision, cf. GDPR Art. 45 (e.g., certification under the EU-US Data Privacy Framework for U.S. companies). 5. Your Rights
You have the following rights:
- You have the right to request access to, correction of, or deletion of your personal data.
- You also have the right to restrict the processing of your personal data.
- If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Your withdrawal will not affect the legality of processing carried out before you withdrew your consent.
- You have the right to receive the personal data that you have provided in a structured, commonly used, and machine-readable format (data portability).
- You can always file a complaint with a data protection supervisory authority, e.g., the Danish Data Protection Agency via dt@datatilsynet.dk.
Additionally, you have the right to object to FK’s processing of your personal data in the following cases:
- If FK’s processing of your personal data is based on GDPR Art. 6.1.f (see processing bases for the individual processing activities above), you have the right to object to such processing at any time on grounds relating to your particular situation.
- You also have an unconditional right to object to FK’s processing of your personal data if we process your personal data for direct marketing purposes.
You can exercise your rights by contacting FK using the contact details provided in section 1.
6. Version
FK reserves the right to amend this privacy policy. As a general rule, changes to this privacy policy will not be notified unless the changes have significant material implications for you.
